SASC Tour Reservation Conditions

ELIGIBILITY

Current Club members and spouses under the age of 55 are eligible to go on Club tours. If members wish to bring an under 55 spouse, please contact the Tour Director so that SASC can make the system exception available for registration.

The Club negotiates rates with accommodation providers for the Club Tours. ROOMS BOOKED BY THE CLUB ARE FOR REGISTERED TOUR PARTICIPANTS ONLY. Friends or spouses interested in staying in these rooms for all or part of a tour MUST be a Club member if over the age of 55, become a Tour Participant by completing the Tour Reservation Form, submitting the required fee and following the process as outlined below. 

Tour Participants are responsible for any expenses that may arise due to unforeseen conditions such as weather delays, road closures, transportation problems etc. 

Negotiated room rates are for tour participants only. Club members not registering for a tour MUST NOT contact the accommodation provider seeking the negotiated tour rate for their private use.

Please note: Members need to renew their membership before registering for a Tour.

MAKING A RESERVATION

NOTE: A bus tour will be cancelled if fewer than thirty five (35) people sign up. 

Participants must accurately complete the online tour reservation. 

If paying by cheque, the payee must be 'Seniors Alpine Ski Club'. The cheque may be post-dated to the Tour deadline date. Please provide the tour name and the Invoice number from your registration. Cheques may be dropped of at the Registration Session or mailed to the Tour Host at the address on the Tour web page.

If paying by Interac e-Transfer: each tour requires a separate Interac e-Transfer. Specify the name of the tour and the invoice number from your registration in the comment box of the Interac e-Transfer form. 

Credit card payments are also accepted. Please be aware that a System Services Fee is added to all registrations, but is discounted from Offline Payments (cheques and eTransfers).

All reservations for a tour received by November 1, 2024 will be treated equally. Reservations received AFTER 11:59 pm on November 1 will be processed in the order they are received. Roommates and couples will be considered as a single room request.

In the event that a tour is over-subscribed, refer to the section Fully Subscribed Tour below. All tour registrants will be notified of their tour status shortly after November 1.

  • Accommodation Roommates
    The Club encourages Tour Participants to arrange for roommates prior to submitting Tour Reservation Forms. However, for those unable to do so, the Tour Host will attempt to match another applicant for double accommodation. The Club will not assume the cost difference between single and double accommodation rates if the Tour Host is unable to arrange a match. Tour participants must advise the Tour Host immediately of any changes in accommodation.

    It is very difficult for the Tour Host to arrange triple and quad accommodation groups. Participants who wish to share these types of accommodation should make arrangements with each other prior to submitting reservation forms and indicate on the forms who is sharing such accommodation.

  • Name Badges
    All tour participants are encouraged to wear name badges on the bus, at social gatherings, and on the ski hill. Badges can be obtained at the Registration Session, at the Nakiska kickoff event or by contacting our Badge Maker.

  • Exclusion of Liability and Release
    Each participant MUST accept the Tour Terms & Conditions on the registration form. Registration is not possible without this acceptance.

  • Fully Subscribed Tour
    If a tour is over subscribed by November 1, a random number generator will be used to determine who is accepted on the tour and who is placed on a prioritized wait list. Every effort will be made to secure additional space to accommodate the wait listed requests. Members on this wait list will have first priority to fill any vacancies. Any additional tour reservation requests received AFTER November 1 will be processed in the order they are received after the original wait list has been depleted. All tour registrants will be notified of their status for the trip shortly after November 1.

  • Self Drivers
    On all tours that offer bus transportation, self drivers will be required to pay the bus fare if the minimum number of forty two (42) bus passengers is not reached. Self drivers will pay the full Tour registration fee and if the required number of bus passengers is reached will be provided a refund.

  • If a Tour is oversubscribed, this payment does not guarantee participation in the tour. See details at Fully Subscribed Tour. 

  • Cancellations and Refunds

    Reservations may be cancelled and a full refund paid if the cancellation is received before the tour deadline date. Refunds for rooms cancelled on or after the tour deadline date are subject to the lodging refund policies and the Tour Host's ability to cancel transportation and lift ticket arrangements. The refund will NOT exceed the amount the Club is able to recover from the ski resort or hotel.
  • Substitution
    If there is no wait list, an applicant may withdraw and substitute another Club member in his/her place up to the time the tour starts. The substitute must complete an online reservation form. The substitute must pay the Tour Host the full amount, or pay the original applicant if the change is received after the tour deadline date. The Tour Host must be informed so changes can be made to the room list provided to the hotel.

  • INSURANCE

    The Club does not carry trip cancellation / health Insurance, nor is it available through the Club. Tour participants should make their own insurance arrangements, particularly for tours outside Canada and preferably for tours outside Alberta, and make sure that they carry the insurance contact information and their own identification with them at all times.
     
  • MARMOT TOUR AND PARK PASSES

    Parks Canada requires our charter bus company to collect park fees from each traveller for each night spent in a National Park.  You must provide: 
    1. the number of your pass
    2. the expiry date of your Pass
    3. where you purchased your Pass

in the appropriate place on your Tour Registration Form.

Trips to the United States:
Visitors travelling to the United States are required to be on possession of passports that are valid for six months beyond the period of their intended stay in the United States.

Luggage-Skis- Boots-Poles

  1. Bring your boots in a boot bag to prevent damage and allow for more efficient loading. 
  2. Helmets should also be in a bag (or your luggage) so we can load them without damaging them
  3. Skis and poles MUST be in a bag. This helps to prevent damage to skis and injury to our baggage loaders.
  4. Please pack your other clothing and necessities in one other bag.
  5. Also a very small carry on bag is OK if it can share the space above your seat with your seatmate's bag and your jackets or if it can lay on the floor underneath the seat in front of you.
  6. ID tags on all items is recommended. Many items look alike so make sure they are yours.
  7. The baggage loaders appreciate your help in following the above guidelines.
